A Dubai aesthetics clinic was generating 120 to 150 leads a month from Meta Ads at a reasonable AED 68 each, and booking fewer than one in five.
The plan on the table was to spend more on narrower targeting for "better" leads. The CRM said otherwise: 61% of leads were never contacted within 24 hours, the average response took 19 hours, and the first message was the same generic WhatsApp text for every enquiry regardless of treatment. The campaign was not the problem. What happened after the form was.
- 01
I automated the first contact through the WhatsApp Business API to fire within 90 seconds of submission, personalised to the treatment the person asked about, the offer they saw, and a direct link to that treatment’s booking calendar.
- 02
I built qualification routing in the CRM: pricing requests for a specific treatment to the senior consultant within two minutes, general interest into the standard sequence, high-value procedures flagged for a direct call within fifteen minutes in clinic hours.
- 03
I added a re-engagement sequence for non-responders — WhatsApp on day one, email on day two, a different offer on day four, and a hard stop at day seven — and touched neither the campaigns nor the budget, so the improvement could only be the pipeline.
States of the system, not metrics — these are things that either were or were not true, so they can be stated without claiming a result.
